Embedded data is any extra information you would like recorded in your survey data in addition to the question responses. The value for your embedded data field can be pulled from data that you have uploaded into a contact list, information appended to the respondent’s survey link, built-in fields provided by Qualtrics, or values set in the survey flow.

Embedded data consists of a field and a value. The field is the name of your variable (e.g., Gender, State, Age). The value is what your field will be set to in your data. Just as one question can have multiple possible answers, an embedded data field can have multiple possible values (e.g., a field called Gender might have a value of Female, Male, or Other).

With piped text, you can customize question and answer choice wording for each respondent, allowing each of them to have a customized, dynamic, and personal survey experience. Piped text is a line of code you add to your survey that pulls information from different sources and displays that information to the respondent (or can be used in display logic, embedded data, and other areas).

Embed Data into a survey

Upload your contact list with the data you want to embed to your Directories in Qualtrics. A CSV file is required. Make sure fields (column heads) are duplicated, or you will get an error. The contact list must have the following fields (see format below): 

• • No spaces in your column headers. Example: FirstName
  • FirstName: The contact's first name
  • LastName: The contact's last name.
  • Email: The contact's email address is required.
    
    
     
    
    

1.  Go to your survey and select the Survey Flow icon. Select Add a New Element Here.
   
2.  Select Embedded Data.
   
3.  Select the contact list and then select the fields you want to embed, or Select All. Select Ok.
   
4.  Select Apply.
   
5.  Once you distribute the survey to that distribution list, the embedded data will now show in the data collected from each survey.
   
   
6.  If you need the embedded data to show in the survey, go to the Survey, select where you want the embedded field and select Piped Text. Select Embedded Data Field. Find the field and then select Insert. 
   
   
7.  When the survey is distributed, each person will receive a personalized survey.

Embed Survey to Distribute via a Link

You can now send a survey with embedded data via an anonymous link from a distribution list instead of email. Note: First you must set up an authenticator sign in. Follow details below.

Upload Contact List

1. Select the Home Icon.
   
   
   
2. Select Directories.
3. Select the Segments & Lists tab.
   
   
   
4. Select Create a list.
5. Name the list and select Confirm.
6. Select Upload a File.
7. Select, Select a File and upload. Note: The csv file must follow the exact format with no spaces in the column header. Download the sample template to view the formatting.
8. Select Next.
9. Review and update any fields.
10. Select Upload the file.
11. Next, you must set up the authenticator and embed data.

Set Up Authenticator

1. Open project/survey.
2. Select the Survey Flow icon from the navigation toolbar.
   
   
   
3. Select + Add a New Element Here.
   
   
   
4. Select Authenticator.
   
   
   
5.  Set Authenticate Type to Contact.
   
   
   
6. Under Authenticate Using Contact, select your Library and choose your contact list.
   
   
   
7.  In Authentication Fields, set Contacts Field to Email.
   
   
   
8. Leave password and prefill settings as is.
9. You can move the authenticator element to the top of the survey flow (this ensures student enter their email first).
10. Next, set up the embedded data.

Set Up Embedded Data

1. In Survey flow, select +Add a New Element Here.
   
   
   
2.  Select Embedded Data.
   
   
   
3. From the Create a New Field or Choose from Dropdown select the dropdown arrow.
   
   
   
4.  Select Add From Contacts.
   
   
   
5.  Select your contact list from the library.
   
   
   
6.  Check Select All (or choose specific fields).
   
   
   
7. Select Ok, then select Apply.
8. The data should now appear in your reports. You can send the survey via an anonymous or personalized link.
