Webex FAQ
Cisco Webex allows you to virtually meet with other people, without leaving your home or office from any device (PC, Mac, mobile phone or tablet (iPhone/iPad, Android) or Cisco video device).
You can test whether your Webex account is active by visiting rowan.webex.com and signing in. If you can't sign in, you can request a free Webex account on the Support Portal in order to host meetings.

- Ensure you have the Webex App installed: Install the Webex App
- Test connecting with your mobile device, laptop, or desktop with this test site: https://www.webex.com/test-meeting.html
- Enter your Name and Email address and click "Join." Hover over the speaker name in the bottom right corner and it will turn into "Settings." Click Settings and you can test your speakers and microphone.
- How can I test my network connection to make sure my meeting will run smoothly?
You can test your network connection to ensure it is ready and capable of hosting or participating in meetings by going to https://mediatest.ciscospark.com/
- Can I join a Webex meeting without an account?
- Yes. A Webex account is not required to join a meeting.
- What can I do before a Webex meeting to make sure it will work?
- The Webex App should be installed first: Installing the Webex App
- It is recommended to join a test meeting beforehand to ensure it works: Testing Webex
- As a best practice, attendees for Webex meetings should begin the process of joining a meeting at least 10 minutes before the meeting to ensure they have no technical difficulties.
- How do I join a meeting from an email invitation?
- Ensure that you have the Webex App installed: Installing the Webex App
- Open the invitation and select the meeting link to join the meeting.
- If prompted sign in with your name and email address.
- You may be asked to enter a meeting password. This will be in your email invitation.
- Once you are placed in the meeting room, you can join the audio portion of the meeting by selecting Call using the computer or you may use your phone to call in.

- Sign in to the Webex App.
- Click Meetings in the left column.
- All the meetings that you are hosting or have been invited to are listed based on the meeting dates.

NOTE: We strongly recommend for security purposes that you do NOT use an open personal room, especially for classes. This leaves the room open for anyone, on and off campus, to join. And do not share your meeting information publicly (e.g. on social media or a public website).
- Is there a cost involved to host meetings?
- There are no costs involved in having an account created.
- How many people can I invite?
- Webex Meetings: up to 1000 participants per meeting
- Webex Training: up to 1000 participants per meeting
- Webex Events: up to 1000 participants per meeting

- Best practices for communicating with participants
- How can I reduce background noise in a meeting?
- While in a meeting:
- Go to Audio & Video in top menu.
- Select Speaker and Microphone Settings.
- Enable "Remove background noise."
This setting should help reduce sounds like dog barks, keyboard clicks, blenders, etc. and is highly recommended for home use.

- Only a host can end a meeting, while attendees can leave and return to meetings at any time before it ends. There are a couple options for a host or attendee to initiate leaving a meeting (when the host leaves, the Webex meeting will end for everyone).
- From the File menu: Attendees can select Leave Meeting; Hosts can select End Meeting.

- You can enable this on your account by logging into https://rowan.webex.com. Go to Settings > Recording > and enable Create recording transcripts for all my MP4 recordings.
- How can I find my recording?
- Webex stores all your recorded meetings either locally on your computer or on your Webex site. You can find your recordings and share or download them from your Webex site.
- If you were invited to a meeting as an attendee or cohost, reach out to the host of your meeting to get the recording.
- How do I disable alert tones when attendees join my meeting?
Login to rowan.webex.com and select Preferences on the left. Click the "Audio" tab and choose whether an alert tone is heard when new participants enter and exit your meeting room:
- How do I update my profile picture?
- You cannot update your profile picture at this time. However, you can personalize your app by changing your cover image, the color of your app, and virtual background.

- Login to rowan.webex.com and, while in the Modern View, click on Classic View on the top right side of the page, next to your name.
- How can I message a group of coworkers?
- When you send a message to a group for the first time, you create a space for the group to talk. For more information, view the Create a Space video.
- What's the difference between Spaces and Teams?
- Spaces work best for a group of people collaborating on a specific topic or project. Teams helps you keep stay organized by categorizing multiple spaces under a common theme. It's great for working on large projects that involve multiple departments all working together on different aspects of the project. For more information, view the Spaces and Teams Webex article.
- How do I add a new user to an existing Space?
- This process can only be completed by the moderator of the Space. View the Add People to a Space Webex Article.
- How do I change my notification preferences for certain Spaces?
- You can customize your notification settings for specific spaces to raise or lower the priority of the messages posted to them.

- During your event, you can easily tell if attendees are no longer focused on your presentation. The attention indicator shows if an attendee has minimized the event window or brought another window in front of the event window. After an event ends, you can generate reports to obtain data about individual attentiveness.

- An option is available to reduce background noises during a Webex. Article: Remove Background Noise During a Webex Meeting or Event
- Do I need a camera or microphone to host a meeting?
- No, a camera or a microphone is not required to host a Webex meeting. A camera can be used if you would like attendees to be able to see you face-to-face, but you can also just share your computer screen or use audio only. With every Webex meeting, users have the option to dial in using a regular telephone if they do not have a computer with a microphone.
- How do I view reports for Webex sessions I have hosted?
- From rowan.webex.com you can download reports that have to do with usage, recording information, attendance, and registration. You can generate reports that provide information about each meeting, event, or session that you have hosted on your site.

- It is not recommended or supported to run Webex in these Citrix environments. Performance will be degraded.
