You can share individual Outlook folders with other users by following the instructions below.


Share a Folder

Before email folders/mailboxes can be shared with other users in Outlook, you must set up the account's default folder permissions. If this step is not performed before sharing, the folders will remain inaccessible to those users.

1. Right click the folder or mailbox you wish to share and select Properties...


Important: You must first set the Default permissions to make the folder visible.

2. On the Permissions tab, highlight "Default" in the top section and check the Folder Visible box at the bottom and then click OK.

Now that default permissions are set up, you can share that folder with another user using the following steps.

3. On the Permissions tab, click "Add..." to choose a user to share the folder with.

4. Choose the user or users and click OK.

5. Next, choose the permission level you wish to grant the user(s). Adjust Permission Level accordingly using the drop down menu or manually configure the read, write, delete, and other access using the check boxes. Select OK to finalize all changes.

6. There are no automatic notifications when a folder is shared, so it is important that you let the recipient know that you have shared a folder with them.

Permission Level Descriptions:

NoneNo permissions (you cannot open the folder)

 

Open a Shared Folder:

This feature requires permission to be set by the user who's folder you will be opening.

1. Click the File menu, select Open & Export, and then Other User's Folder...

2. In the Open Other User's Folder window, type the name of the person who granted you sharing or delegate access permission, or click "Name" to select from a list.

3. In the Folder type list, select the folder you want to open.

Note: If you have author or editor permission, any items you create while the shared folder is active are stored in the shared folder.
