Employee Separation Checklist: Rowan NetID and Email

Rowan University's Separated and Retiring Employee Offboarding Policy establishes guidelines for how long employees maintain access to their Rowan NetIDs and email addresses. Please click one of the links below for more information about particular groups of employees. 


Staff, Administrators, Lecturers, Tenured & Tenured-Track Faculty

Staff, administrators, lecturers, tenured and tenure-track faculty lose access to their Rowan NetIDs the day after their last day of employment at the University. We encourage employees in one of these groups who are planning to retire or resign from the Rowan University to take the following steps before their last day of work:

  1. Voluntary Termination Checklist - https://sites.rowan.edu/hr/benefits/voluntary_termination.html
  2. Establish a personal email account. If you do not already have one, establish a personal email account with another provider, such as Google (gmail.com) or Microsoft (outlook.com).
  3. Inform contacts of your personal email address. If you are using your Rowan University email to communicate with personal contacts, provide them with your personal email address.
  4. Update any websites or accounts with your personal email address. If your Rowan email account is being used with any financial, retail, travel or healthcare websites, log in to them and change your email address as soon as possible. Contact any pension or other providers to give them your personal email address immediately as well. 
  5. Save any personal email or contacts. If you have personal email messages, contacts or other personal data stored in your Rowan University email account, forward that information to your new email address or otherwise retain a copy.   6. Save any personal documents. If you have personal files saved in your home directory or Rowan Google Drive account, forward that information to your new email address or otherwise retain a copy.
  7. Give Rowan your personal email address. Allow us to keep in touch with you by entering a personal email address in Banner. Please log in to Banner, choose "Personal Information" from the main menu and then click "Update Email Addresses." Next to "Type of E-Mail to Insert" choose "Personal" and then enter your personal email address.
  8. Subscribe to the Rowan Daily Mail. If you are retiring and want to continue to receive the Rowan Daily Mail (aka Rowan Announcer), send a request to support@rowan.edu that includes your personal email address.
  9. Save Paystubs/Tax Forms. If you wish to maintain a copy of historical paystubs or other tax documents, download a copy from Self-Service Banner before your last day. If you have additional questions, please contact payrollservices@rowan.edu.
  10. Update your contact for Rowan Magazine. If you wish to keep receiving Rowan Magazine and need to update your home address, please contact HR@rowan.edu




Adjuncts & ¾-Time Faculty

Adjunct and ¾-time faculty maintain access to their Rowan NetIDs and email address for one year after the scheduled end of their contract at Rowan University.

We encourage adjunct and ¾-time faculty to take the following steps before their accounts expire:

  1. Establish a personal email account. If you do not already have one, establish a personal email account with another provider, such as Google (gmail.com) or Microsoft (outlook.com).
  2. Inform contacts of your personal email address. If you are using your Rowan University email to communicate with personal contacts, provide them with your personal email address.
  3. Update any websites or accounts with your personal email address. Professors Emeriti

Professors Emeriti maintain access to their Rowan NetIDs per the Emeritus/Emerita Status policy.
