Getting Started with Webex

Webex is a suite of online meeting tools that allow you to meet with participants inside and outside of Rowan University using your computer and/or mobile device. For most users, a scheduled meeting room is the quickest and easiest way to connect.

1. Test Your Webex Access

You do not need a Webex account to join a meeting, only to host a meeting. Most active Rowan employees and students have been provisioned with a Webex account.

You can test whether your Webex account is active by visiting rowan.webex.com and signing in. If you can't sign in, you can request a free Webex account on the Support Portal in order to host meetings.

Sign in to rowan.webex.com.

4. Join a Meeting


When you join a meeting for the first time, you're prompted to download the installer file to install the Webex Meetings desktop app on your computer if it is not already installed.

If you can't download the installer, you can still join the meeting using the web app in your browser instead. You don't need to install anything using the web app, and it launches in your web browser.

5. Schedule a Meeting


Rowan faculty, staff or students can host a meeting, event or training session using Webex.

NOTE: We strongly recommend for security purposes that you do NOT have people join your personal room, especially for classes. This leaves the room open for anyone, on and off campus, to join. And do not share your meeting information publicly (e.g. on social media or a public website).

Schedule a Meeting Through the Website

    1. Log into rowan.webex.com
    2. Click Schedule or Meetings > Schedule
      • Meeting Type: Webex Meetings Pro 1000 (This is the recommended meeting type and will secure your room with a password)



      • Meeting Topic: enter a title for your meeting (required)
      • Meeting Password: use the provided password or enter your own

If you would like to schedule a conference on Webex Events instead, click that link from the navigation menu.

Schedule a Meeting Through Outlook

To schedule a meeting via Outlook in Windows or on a Mac utilize the Webex Scheduler.

Types of Webex Sessions:

Schedule a meeting on behalf of someone else

Yes. First, that person must give you permission to do so. There is a limit of 20 people that you can specify to do this.  For details, see Cisco's help page: Allow Another Host to Schedule Meetings on Your Behalf

Then you can schedule a meeting for them: Schedule a Meeting On Behalf of Another Host  

Webex Session Limits

  • Webex Meeting: up to 1000 participants per meeting with a session length of 24 hours
  • Webex Event: up to 1000 participants per meeting with a session length of 24 hours
  • Webex Training: up to 1000 participants per meeting with a session length of 24 hours

Host a Meeting

You can either start your meeting from the invite in Outlook or by logging into rowan.webex.com, selecting the "Meetings" section and clicking Start next to the meeting name.



During the meeting you can record the session, share your screen and more.
