Transferring Google Content


Using Google Takeout


Google Takeout allows students to download their content, or transfer content from their Rowan Google account to another Google account

This process allows you to keep important files and emails when you graduate, switch schools, or leave Rowan.

What you can transfer/download

    • Email in Gmail (not data from Contacts, Chats, or Tasks).  Google provides additional information on how to export, backup, and restore contacts.
    • Documents in My Drive

What you cannot transfer/download:

    • Files in Shared drives
    • Files in My Drive where you have viewer access
    • Files for which the owner has turned off the download, print, and copy options

Transfer Email and My Drive Files to another Google Account

  1. To copy content that other people have shared with you, make sure those files have been added to your My Drive and are not only available in "Shared with me".
  2. Sign in to your Rowan Gmail account and go to takeout.google.com/transfer.
  3. Enter the email address of the destination Google account.
  4. Select Send code.
  5. Check your personal Gmail account for the confirmation email, and in the email select Get confirmation code. A new tab will open with a code.
  6. Return to takeout.google.com/transfer and enter the code, and choose Verify.
  7. Choose the content you'd like to copy and select Start transfer

Viewing copied files:

Instead of transferring, you also have the option of downloading all of your Google Account data

  • While signed into your Rowan Google Account, browse to takeout.google.com.
  • Select the data you wish to download, one of the available formats, and click Next Step.
  • Choose your preferred delivery method, Frequency, file type, and size, then Create export.
  • Once the export is completed, it will be delivered to the specified location.

Using POP


First, change the settings in your Rowan Gmail account:

  1. Open your Rowan Gmail account.
  2. Click the gear icon at the top right.



  3. Select Settings.
  4. Select the Forwarding and POP/IMAP tab.



  5. In the "POP Download" section, select Enable POP for all mail (if POP is not already enabled).
  6. In the drop-down menu next to "2. When messages are accessed with POP," choose what to do with messages in this account, such as keep Rowan University Mail's copy in the inbox (recommended).
  7. Click Save Changes at the bottom of the page, if any changes were made.

Then, change the settings in your personal account:

  1. Open the Gmail account you want to import to.
  2. Click the gear icon at the top right.



  3. Select Settings.
  4. Select the Accounts and Import tab.



  5. In the Check mail from other accounts (using POP3) section, click Add a POP3 mail account you own.
  6. Enter the full email address of your Rowan account, then click Next Step. (You must enter your full @students.rowan.edu address).
  7. For "Username," enter your full @students.rowan.edu email address
  8. Enter your password. 
  9. Enter pop.gmail.com as the POP Server and port 995.
  10. Now you have a few options to choose from. Here are our recommended settings:

    • Leave a copy of retrieved messages on the server - Leave unchecked. This setting is controlled by the POP settings of your Rowan account.
    • Always use a secure connection (SSL) when retrieving mail - Keep checked.
    • Label incoming messages - Check the box if you'd like to easily see which emails in your inbox came from your Rowan account.
    • Archive incoming messages - Leave unchecked. Only check if you don't want to see new messages from your Rowan account in your inbox.

  11. Click Add Account. If you get an error message while getting set up, click the Show error details link to find out more about what's not working.
  12. Once your Rowan account has been added successfully, you'll be asked if you want to be able to send mail as this address. This lets you compose messages in Gmail but have those messages appear to be sent from your Rowan email account.

Note: If you are prevented from importing email from your Rowan Gmail account to a personal account, this may be due to using a "less secure app".  Please the information here about "less secure apps" and what can be done to continue the import.  This must be done on both your Rowan Gmail account and your personal email account.

After you have retrieved all of your Rowan email, you will want to remove the import account:

  1. Open your personal Gmail account.
  2. Click the gear icon at the top right.



  3. Select Settings.
  4. Select the Accounts and Import tab.



  5. Find the Check mail from other accounts (using POP3) section.
  6. Click delete next to the Rowan Gmail Account.
