The Rowan Announcer, also known as the Rowan Daily Mail, allows Rowan University employees to send messages to the University community. Every employee is able to submit a message for publication in the Rowan Announcer.

Every message must be reviewed and approved before it is published in the Rowan Announcer. Review these frequently asked questions for help with submitting and approving messages.

Submitting Messages


Who can submit a message?

Any Rowan University employee can submit a message for distribution in the Rowan Announcer and select one of three audiences for that message: students, employees, or both students and employees.

Students are not allowed to submit messages to the Rowan Announcer. Students may use the ProfLink system for message distribution or ask an employee to submit a message on their behalf.

How do I submit a message?

  1. Log in to Self-Service Banner 
  2. On the main menu, click the Employee tab
  3. Click Rowan Announcer Submission
  4. Fill out the form, making sure to include your distribution audience, title, category, the body of your message, contact information, dates to be distributed, event information, if applicable.
        Note:  Attachments cannot be added to the Daily Mail.  You can, however, add links.
  5. Click Preview & Submit



  6. After reviewing your submission, click Submit if your message is ready, or click Go Back if you need to make changes. Note: You cannot make changes after you submit a message. 



  7. You will receive an email confirming your message has been submitted. You will receive another email when your message is approved. 

 

What happens after I submit a message?

After you submit a message, you will receive two notifications: one notifying you that your message has been successfully submitted and one notifying you when your message has been approved. 

If you have submitted a message but did not get a notification that the message has been approved, your message is still pending approval. You should alert the approver for your area that there is a message pending approval.

Who can submit an "Extra Edition" message?

Due to the special nature of "Extra Edition" messages, only certain employees are able to request those special messages. Employees with that privilege have been individually notified.

How do I submit an "Extra Edition" message?

If you are approved to submit "Extra Edition" messages, you will see a checkbox at the top of your submission screen next to "Send out announcer as an extra edition (not part of the daily message)." Select that checkbox to submit your message as an "Extra Edition."

Can I edit a message after I submit it?

No. Once you submit a message, you cannot make changes to it. In order to update a message that has been submitted, you can remove the message and then resubmit it.

If I delete a message that's been approved and submit an updated message with the same title, does it need to be approved?

Yes. Every message must be approved before it will be distributed in the Rowan Announcer. 

If you delete a message and submit an updated message with the same title as the message you removed, the updated message will need to be approved.

 

Approving Messages

Who can approve a message?

A designated group of employees throughout the University have approval privileges. 

If you are an employee in an academic department, check with the Dean's Office to find out who approves Rowan Announcer messages for your area.

If you are an employee in a staff department/division, check with the department/division manager to find out who approves Rowan Announcer messages for your area.

Note: While IRT staff support the system used to distribute the Rowan Announcer, IRT staff are not reviewing or approving messages in the system.

How do I request approval privileges?

If you want to request approval privileges for Rowan Announcer messages, ask your area's Dean/Vice President/Director to submit a request on your behalf to support@rowan.edu

The President's Office and University Relations will then review the request and approve or deny it. 

If the request is approved, you will be able to approve messages immediately through Self-Service Banner. You will also receive daily reminders of the messages that need approval.

How do I approve a message?

  1. Log in to Self-Service Banner 
  2. On the main menu, click Rowan Announcer Management Tools
  3. Click Rowan Announcer Submission Manager
  4. Click the title of the message you need to approve from the "Messages Not Ready for Distribution" table for regular messages. For "Extra Edition" messages, click the title of the message from the "Separate Editions Not Ready for Distribution" table. Note: Messages listed in the "Messages Ready for Distribution" or "Separate Editions Ready for Distribution" have already been approved.
  5. Scroll to the bottom of the message, and click the checkbox next to "Ready for Distribution?"



  6. Click Update

 

Am I notified when a message is ready for my approval?

Yes. Approvers receive a daily reminder at 12 p.m. every day listing all of the messages that need approval.

 

Can I approve a message before I receive the daily notification email?

Yes, you can approve a message as soon as it is submitted. You do not need to wait for the daily reminder message to approve a message. To approve a message immediately, follow these steps:

  1. Log in to Self-Service Banner
  2. On the home screen, click Rowan Announcer Management Tools
  3. Click Rowan Announcer Submission Manager
  4. From there, you can select the message you need to approve

 

Approving Extra Editions
 
Can I send an Extra Edition immediately? Will future distributions be canceled?
 
Yes, you can send an extra edition message immediately clicking the "Generate Message" button on the submission approval page.
No, generating an extra edition will not cancel any future scheduled distributions (distribution dates later than the date you generated the extra edition).
 
To send an extra edition immediately, click the "Generate Message" button on the approval page. This button is visible on the approval page for extra edition submissions only.
 


Once you click the Generate Message button, you'll get a popup box asking you to confirm this. Click OK if you would like to proceed, and Cancel if you don't. Once confirmed, your message should begin to be distributed within 10 minutes.
 

Will future distributions be canceled?
 
No. Generating an extra edition message will only send it out once that day. If you had a message scheduled for the same date as you generated it, it'll only be distributed that one time. However, future distribution dates will continue to be in effect. For example, if you generate a message on 4/26/18 and there's a distribution date of 4/30/18, the generated message from 4/26/18 will be sent and the message from 4/30/18 will be sent as well.
 
If you would like to generate an extra edition message (immediate distribution) and cancel future scheduled distributions do the following:

  1. Generate the extra edition message.
  2. Go back into the approval page for that message submission and delete it by clicking the remove button.

 
Approving Orphaned Messages
 

What is an orphaned Message?
 
An orphaned message is one whose latest distribution date has passed without being approved.

 
 Can I approve a message once it has been orphaned?
 
No. Once a message has been orphaned, it is considered to be an expired message submission which cannot be distributed. Rowan Announcer will no longer permit approval of orphaned messages.
 
If you want to re-send the message, the message must be re-submitted and then re-approved.
 

Removing Messages

How do I delete a message I submitted?

To delete a message you submitted, take the following steps:

  1. Log in to Self-Service Banner 
  2. Click the Employee tab
  3. About halfway down the page, click Rowan Announcer - Your Submissions
  4. Click the title of the message you want to delete
  5. Scroll to the bottom of the page, click the Remove button and confirm you want to delete the message

 

Can I delete a message after it's been approved?

Yes, you can delete a message after the message has been approved following the steps listed above. You can delete a message at any point, up until it's been delivered.  

 

General

Can I change the position title that appears in the "Approved By" or "Submitted By" sections of a Rowan Announcer message?

Yes. To change what the Rowan Announcer displays as your position title in the "Approved By" or "Submitted By" sections, take the following steps:

  1. Log in to Self-Service Banner 
  2. Click the Personal Information Tab at the top of the page
  3. Click the Change Directory Profile link at the bottom of the page
  4. Under the section named "Update Profile," enter the new position title in the text box labeled "Local Title"
  5. Click the Submit button
  6. At this point, the new position title should be displayed on all of the messages you have either submitted and/or approved (past, present and future).

 

Can I unsubscribe from Rowan Daily Mail?

If the affected email address ends with rowan.edu:

First, follow the "Steps to Out-Out of Daily Mail Messages" below. 

In general, employees may opt-in and out of Student Daily Mail messages and former students may be able to opt out from Student Daily Mail messages.

If you are not able to opt-out: No, your rowan.edu e-mail address can not be unsubscribed to whichever edition of Rowan Daily Mail has been blocked by the E-mail Subscriptions page. Messages that are sent to rowan.edu email addresses receive Rowan Daily Mail as an official means of Rowan communications to students and employees.

In addition, students who have previously opted-in to receive Employee Daily Mail messages can opt out from receiving those messages by following the Opt-Out steps below.

 

If the affected e-mail address does not end with rowan.edu:                                  

Please submit a support request to support@rowan.edu and specify that you wish to discontinue receiving Rowan Daily Mail messages to your non-rowan.edu e-mail address.

 

Steps to Opt Out of Daily Mail Messages:

To opt out of an edition of the Rowan Daily Mail, complete the following steps:

  1. Log in to Rowan NetID

  2. In the left-hand navigation panel, click Email Management 

  3. Under "Manage Subscriptions" click the Opt-Out button to the right corresponding to the edition you wish to opt out from 

  4. You will receive the confirmation message "Successfully unsubscribed" if you were able to opt out.
